Online table reservations without phone calls

Online table reservation lets guests request a table from your site or Telegram at any hour, while the host confirms it in a staff chat. For most restaurants in Yerevan a request with confirmation works better than full automatic booking, and it costs from $500 as a Telegram bot at Kinto.

On a Friday at 19:00 the host is seating guests, the phone rings, and someone else is waiting at the door. Calls get missed. People who wanted to book simply go elsewhere. Online table reservation moves those requests into a form or a Telegram chat, so guests can book in thirty seconds and staff can confirm when they have a free moment.

For general booking systems for salons and clinics, see online booking on your website. Restaurants work differently, and this article is about them.

Why restaurants should not copy salon booking

A salon books a person into a fixed slot with one master. A restaurant books a group into a floor that changes all evening: tables are pushed together for a party of eight, a terrace closes when it rains, a table frees up early. A fully automatic calendar rarely handles this well.

That is why most restaurants in Yerevan do best with a request plus confirmation model:

  1. The guest sends date, time, number of guests and contact.
  2. The request arrives in the staff Telegram chat.
  3. The host taps Confirm, Offer another time or Call.
  4. The guest gets the answer in Telegram or by SMS.

Fully automatic booking makes sense for places with fixed seatings, such as tasting dinners or events with a set number of seats.

The form: what to ask and what to skip

Field Required Why
Date and time Yes The core of the booking
Number of guests Yes Defines the table
Name Yes For the host's list
Phone or Telegram Yes For confirmation and changes
Occasion Optional Birthday cake, decorations
Seating preference Optional Terrace, hall, quiet corner
Comment Optional High chair, wheelchair access

Do not ask for email, birth date or "how did you hear about us". Each extra field loses some guests.

Where guests book from

  • Website. A "Book a table" button on the first screen and on the menu page.
  • Telegram bot. Many locals and relocants prefer writing in a messenger. A restaurant Telegram bot can take bookings, show the menu and answer "do you have a terrace" type questions.
  • Google Maps and Instagram. Put the booking link in both profiles.

Whether you start with the site or the bot depends on where your guests already are. Our comparison of bot or website for bookings helps choose.

Large groups and deposits

Groups of eight or more, banquets and holiday evenings (New Year's Eve, March 8, wedding season weekends) carry the highest no-show risk and the highest cost when it happens. For them:

  • Ask for a deposit through an online payment link.
  • Set a clear rule: refundable until a certain time, then not.
  • Collect the menu pre-order in the same conversation if you need it.

Online payments start at $600 at Kinto, and the payment link can be sent from the same bot.

Confirmations and reminders

Two messages do most of the work against no-shows:

  1. Instant confirmation after the host accepts, with address, time and a map link.
  2. Reminder a few hours before, with buttons "I'm coming" and "Cancel".

When a guest cancels through the button, the table is free again and the host sees it immediately. That is better than an empty table at 20:30 and a guess about whether they are just late.

Seasonal details for Yerevan

  • Summer terrace. Many guests book specifically for the terrace. If it closes because of weather, the host should be able to message all terrace bookings at once.
  • Tourist season. Visitors write in English and often book for the same evening. A form in English with clear time zone and address helps.
  • Holidays. Before major holidays, reservations come weeks ahead. A separate holiday menu page with booking reduces calls.

A launch checklist

  1. Decide who confirms bookings on each shift.
  2. Set a confirmation time target, for example within 15 minutes during opening hours.
  3. Write templates: confirmed, full at that time, offer another time.
  4. Add the booking button to the site, Google Maps and Instagram.
  5. Test a booking from a phone with mobile data.
  6. Review missed or late confirmations after the first two weeks.

Should table booking be automatic or confirmed by staff?

For most restaurants, confirmed by staff. Tables are combined and moved during the evening, and a host knows the floor better than any calendar.

What should the reservation form ask?

Date, time, number of guests, name and phone or Telegram. Optional: occasion and seating preference such as terrace or hall.

How do we reduce no-shows?

Send a confirmation right away and a reminder a few hours before. For large groups, ask for a deposit.

Can guests book on a Friday night when staff are busy?

Yes. The request waits in the staff chat with buttons, and the host confirms in one tap between orders.

How much does this cost?

A Telegram booking bot starts at $500 at Kinto. A restaurant website with a booking form starts at $700.
