Booking reminders in Telegram are the cheapest fix for no-shows. A client books a haircut on Monday for Friday, and by Friday they have forgotten, or their plans changed and they did not want to call to cancel. A short message the day before, with a button to confirm or move the visit, solves both problems: people remember, and people who cannot come tell you in one tap, so the slot can go to someone else.
This article is about the reminder part. For the full booking flow, see our guide to a Telegram booking bot.
Why Telegram and not SMS
- People in Armenia open Telegram many times a day, while SMS is mostly bank codes and spam.
- A Telegram message can have buttons, so the client answers without typing or calling.
- The same chat keeps the address, the map pin and the history of visits.
- It works the same for a client in Yerevan and for a relative booking from abroad.
There is one rule to remember: a bot cannot write first. The client must have started the chat with your bot. That is why the booking itself, or at least the confirmation, should happen inside the bot. If clients book through your website, the confirmation page can show a "Get a reminder in Telegram" button that opens the bot.
When to send
| Type of visit | Reminders |
|---|---|
| Haircut, nails, massage | Evening before, plus 2 hours before |
| Doctor, dentist | Day before, plus 3 hours before with what to bring |
| Lesson, class, tutoring | Day before, plus 1 hour before with the link if online |
| Car service | Day before with what to bring, plus morning of the visit |
| Tour or trip | 3 days before with what to pack, evening before with pickup time and place |
Send the evening reminder at a normal hour, for example 18:00 to 20:00, not at 23:00. For morning appointments, the evening reminder matters more than the two-hour one, because nobody reads messages at 7:00 on the way to a 9:00 visit.
What to write
Keep it short and complete. A client should not need to open anything else to come to the visit.
Day before: "Hi Ani, a reminder: tomorrow, Friday, at 11:00, haircut with Lilit. Address: 12 Pushkin St, entrance from the courtyard. Can you make it?" Buttons: Confirm, Reschedule, Cancel.
Two hours before: "See you at 11:00. Here is the map pin. Parking is on the side street."
After the visit: "Thanks for coming. If you liked it, here is the link to leave a review." One message, no promotion.
Write in the language the client used when booking. If your clients speak Armenian, Russian and English, the bot should remember the choice and use it for every reminder.
The reschedule and cancel buttons
These two buttons are what actually reduce empty slots.
- Reschedule shows the next free times, or sends the request to the administrator who offers options.
- Cancel asks one optional question ("Why?" with a few answers) and frees the slot immediately.
- When a slot frees up, the bot can notify clients on a waitlist for that day, first come first served.
Without these buttons, a client who cannot come often does nothing, because calling feels awkward. With them, cancelling is easy, and you have hours to fill the slot instead of minutes.
Confirmation as a signal
If the client presses "Confirm", you know they are coming. If there is no answer by the morning, the administrator can call. This turns a list of 20 bookings into 17 confirmed and 3 to check, which is a much easier morning.
Prepayment for problem slots
For long or expensive appointments, a reminder alone may not be enough. Some businesses ask for a small deposit at booking time for those slots. A bot can take the deposit through a payment link, see how to accept online payments in Armenia. Use this carefully: for a regular haircut, a deposit often costs more goodwill than it saves.
Handling the clients who never answer
Some clients will not press any button. That is normal. Decide in advance what the team does with them:
- No answer to the evening reminder: the administrator sends a short personal message in the morning.
- Still no answer one hour before: a quick call.
- Repeated no-shows from the same client: the bot can ask that client to confirm earlier, or ask for a deposit next time.
Keep a simple note of no-shows per client in the booking system or a table. After a few months you will see that most empty slots come from a small group of people, and you can treat them differently without bothering everyone else.
Several masters or branches
If your salon or clinic has several specialists or two branches, the reminder must name the right person and the right address. A wrong address in a reminder is worse than no reminder. Test this with a booking for each specialist and each branch before turning reminders on for everyone.
What to check before launch
| Check | Expected result |
|---|---|
| Book a test visit as a client | Confirmation arrives instantly |
| Change the time on the server | Reminder times shift with it |
| Press "Cancel" | Slot becomes free in the schedule |
| Press "Reschedule" | Administrator or bot offers new times |
| Client changes language | Reminders arrive in that language |
| Booking made by phone | Administrator can add it, and the client still gets reminders if they started the bot |
Bot or website for bookings
Reminders work best when the booking already lives in Telegram. If you are still deciding where clients should book, read bot or website for bookings and online booking on your website.
Cost at Kinto
A Telegram bot with booking, reminders and reschedule buttons costs from $500. Connecting it to the booking system or CRM you already use costs from $700, and taking deposits adds $600. More on the Telegram bot page, or write to @kinto_am and tell us how many bookings you handle per day.
