Telegram bot for an airport transfer service: night flights without missed calls

Many flights land at Zvartnots between midnight and 05:00. Travelers who want a transfer write from the departure lounge, often in English or Russian, and expect an answer before boarding. A Telegram bot for an airport transfer service in Armenia answers at that hour, takes the full order and passes it to your dispatcher, so nobody wakes up to twenty unread messages.

What a transfer order needs

A good order leaves the driver no questions. The bot collects:

1. Direction. Airport to city, city to airport, or between cities.
2. Flight number and date. For arrivals, this is what the dispatcher tracks.
3. Arrival or pickup time.
4. Passengers. Adults and children.
5. Luggage. Number of suitcases; skis, bikes or musical instruments separately.
6. Child seat. Yes or no, with the child's age.
7. Destination. Hotel name or address, or a location pin.
8. Contact. Telegram username plus phone, preferably with WhatsApp as backup for travelers whose Telegram may not work abroad.

The dispatcher chat

Every order arrives in one Telegram chat used by dispatchers. Each message has buttons:

• Assign driver. Choose from a list; the driver gets the order in their own chat.
• Ask client. Send a question, such as the exact address.
• Decline. With a reason, if no car is available.

After assignment, the client receives the driver's name, car model, color and plate number, plus where to meet: for example, at the exit from the arrivals hall with a name sign.

Delays and changes

Flights get delayed. The bot can:

• ask the client to send the new time or flight if it changes;
• let the client press "My flight is delayed";
• remind the client the day before departure transfers with the pickup time.

Write a clear waiting policy: how many minutes of free waiting after landing, and the price per extra hour.

Working with hotels and travel agencies

A lot of transfer orders come from partners. Give each hotel or agency its own bot link, so you see where orders come from. Payment options

Prepayment reduces no-shows on long routes, where a driver may wait hours for a passenger who changed plans.

Languages

English and Russian cover most travelers; add Armenian for locals and diaspora, and consider others if your partners bring specific groups. Ask for the language first, then keep the whole conversation in it. Driver details sent to the client should be in the same language.
